ADMINISTRATIVE ASSISTANT – VILLAGE OF DEER PARK – Part Time Position

The Village is looking for a team player and dedicated professional to be part of our team as Administrative Assistant. The position is the perfect opportunity for those interested in contributing to the success of the Village Office while working a flexible work schedule, close to home. The Administrative Assistance provides a full range of administrative office support to the Village Treasurer and Building, Zoning Development Coordinator while ensuring excellent customer service.

GENERAL PURPOSE

Provide a full range of administrative office support to the Village Administrator, Village Treasurer, Building Permit Coordinator, Assistant to the Administrator and Village Clerk by performing administrative, secretarial, and related clerical duties. Independently administers several assigned responsibilities, ensuring excellent customer service.

SUPERVISION RECEIVED

Assistant is supervised by the Village Administrator. Work is performed independently within approved guidelines, policies and procedures. The work is reviewed through observation of accomplishments and documents.

SUPERVISION EXERCISED

The Administrative Assistant does not have supervisory responsibilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

A. Provides a full range of administrative, clerical and office support including, but not limited to:

  • Maintain confidentiality in all aspects of Village business information when required
  • Interact with residents, vendors and visitors, phone reception
  • Prepare and coordinate mail, faxes, and express packages
  • Filing and retrieve organizational documents, records and reports
  • Performs accounts payable functions
  • Miscellaneous projects as needed
  • Assists in Laserfiche document scanning

B. Assistance to the Building, Zoning Development Coordinator with building permits, scheduling and documenting building inspections, business registrations, Permit N Force entries

C. Create and modify documents such as reports, memos and letters using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office, Caselle and Permits N Force

D. Conduct research, compile data and prepare papers for consideration and presentation to the Village Administrator, Treasurer, Staff and Board of Trustees

E. Support staff and Trustees in assigned project-based work

TOOLS and EQUIPMENT

Must be proficient in the use of a personal computer, including word processing, spreadsheet (MS Office-Word, Power Point, Excel, Outlook)

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to walk; use hands to operate, finger, handle, or feel objects, tools, or controls; and reach with hands and arms.

The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT

Work conditions are normal for an office environment

MINIMUM QUALIFICATIONS

Education and experience:

A. Two years of college or five year work related experience.

B. Experience in general office practices such as report writing, filing, etc.

C. Experience in working with and successfully relating to people.

D. Proficient in Microsoft Office

E. Professional verbal and written communication skills

F. Ability to establish and maintain effective working relationships with other staff, officials, consultants and the general public.
